320 Interlibrary Loan (ILL) 320.1 Interlibrary Loan Policy
Interlibrary loan is a service that enables the library to meet the informational needs of its patrons by borrowing materials not in its collection from another library. This sharing of resources is essential for adequate and effective library service. Aaron Cutler Memorial Library (ACML) participates in Interlibrary Loan through the New Hampshire Automated Information System (NHAIS) utilizing the New Hampshire State Library (NHSL) Van Service and adheres to the NHSL Interlibrary Loan Protocol. ACML only borrows materials from and/or loans materials to other NHAIS members.

320.2 Guidelines for Borrowing.

320.21 Eligible Borrowers. Any patron in good standing may borrow material through the ILL system.

320.22 Types of Materials Borrowed.
Requests will be made for all types of materials not owned by the library; materials owned but missing from the library; and materials owned but temporarily unavailable for circulation. Generally, these are materials that do not conform to the library’s collection development policy, or for which there is no recurring demand, or for which budgetary and space limitations make it impossible for the library to purchase.
  • 320.22.1 The library does not request materials that are in the library’s collection unless the request is for multiple copies for book discussion purposes.
  • 320.22.2 Requests for materials are filled or denied based on the ILL policy of each individual member library.
320.23 Length of Loan. The loan period is dictated by the lending library. Generally, books are loaned for at least four weeks from the time the material is sent. Other types of materials vary according to each participating library’s ILL policy.
320.23.1Renewals. A renewal request must be made in time to reach the lending library no later than the due date. Renewal requests are granted or denied according to each participating library’s ILL policy.
320.24 Photocopying. The library may request photocopies from non-circulating materials when requests comply with U.S. Copyright Law, Subsection 108(g)(2), and its accompanying CONTU guidelines. Charges for photocopying, if any, are passed on to the patron.

320.25 Number of Requests Allowed. There is no limit to the number of active requests that a patron may have. All requests will be processed as they are received unless otherwise instructed. However, patrons are encouraged to travel to other libraries for on-site access to material when extensive use of a library’s collection is required or when the material requested requires special handling. The library will assist the patron in making the necessary arrangements.

320.26 Fee to Borrow. The library does not charge its patrons a borrowing fee.

320.27 Lending Library Selection. Materials are requested from libraries with the local area first, beginning with those who are members of the Merri-Hill-Rock Cooperative. Material requests are made from smaller libraries whenever possible so as to better share the ILL load.

320.28 Responsibility for Borrowed Material.

320.28.1 Overdue Material. Overdue fines are charged for materials returned after the due date according to ACML’s fine schedule.

320.28.2 Lost or Damaged Material. ILL is a transaction between libraries and as such, Aaron Cutler Memorial Library is responsible for requested materials from the time they leave the lending library until they are returned to that library. When loss or damage occurs, ACML is responsible for compensating the lending library. Fees charged for lost or damaged material is dictated by the lending library. When loss or damage occurs while the material is in the patron’s possession, ACML will charge the patron according to its lost or damaged fee schedule.
320.3 Guidelines for Lending.

320.31 Eligible Libraries. The library will lend materials to NHAIS member libraries.

320.32Types of Materials Loaned. The library lends all materials from the circulating collection with the following exceptions: newly published materials acquired within the last six months; materials in high use at the time of the request; and materials for which there is a reserve list.

320.33 Length of Loan. Materials are loaned for a period of six weeks from the time the material is sent with the exception of videos and DVDs. Videos and DVDs are loaned for a period of 4 weeks from the time the material is sent.

320.33.1 Renewals. Videos and DVDs are renewed for an additional one-week, while all other materials are renewed for an additional 2 weeks provided the materials have not been placed on reserve.

320.34 Photocopying. The library will photocopy non-circulating materials provided the source materials are not too fragile, a usable citation is given, and the borrowing library verifies the request complies with U.S. Copyright Law, Subsection 108(g)(2) and its accompanying CONTU guidelines. Thirty pages per item are photocopied at no charge. Additional photocopies are charged according ACML’s fee schedule. Photocopies are delivered via Van Service only.

320.35 Number of Requests Allowed. In general, there is no limit to the number of requests that are accepted from member libraries. However, extensive use of the collection at one time by one library may be denied. Instead, the requesting library will be asked to encourage its patron to travel to the library for on-site access to the requested materials.

320.36 Answering Requests. The library responds to requests within two working days, whenever possible, by filling the request, denying the request, or acknowledging the reserve of material.

320.37Fee to Lend. The library does not charge NHAIS member libraries a borrowing fee.
